ASSISTANT DIRECTOR

SUMMARY:
The Assistant Director provides managerial support for the EPS group and is responsible for the financial, personal and administrative support of EPS and its activities and projects. This senior administrative position provides guidance and support at both an individual and systems level preparing, budget forecasts and managing budgets, project inventories and other high level administrative documents. In addition to oversight of EPS administrative activities, the Assistant Director is responsible for interfacing with the Exploratorium's general administrative departments to develop and implement systems and processes that enhance organizational effectiveness. As a senior manager, the Assistant Director is a central member of the EPS leadership group, contributes to program and strategic planning efforts, and works collaboratively with Assistant Directors from other program areas. The Assistant Director directly supervises project management and administrative staff within EPS. The position requires an experienced non-profit administrative manager who is comfortable working in a highly collaborative environment with creative staff. The position reports to the EPS Director.
ESSENTIAL FUNCTIONS:
- Work closely with EPS Director, Department Directors and Managers to support, coordinate and improve the day-to-day administrative operations of EPS, its programs and projects.
- Direct preparation and administration of a $5 million+ annual budget, including ongoing financial projections and regular forecasts. Develop and oversee a budget planning and management process that facilitates the appropriate involvement of EPS staff and meets institutional needs and requirements.
- Provide direction and support to Project Managers for the fiscal and administrative management of federal and private grant-funded projects, sub-awards and contracts.
- Provide direction and support to Department Directors for the fiscal and personnel management of their departments.
- Work collaboratively with Exploratorium administrative departments, including Finance & Accounting, Human Resources, and Development to create and implement systems and policies that support EPS work, and to address specific issues and problems that arise.
- Lead the effort to implement and monitor ongoing system and process improvements in EPS administrative activities addressing workload, feedback and other identified issues.
- Serve on the EPS Leadership Group, participate in program and strategic planning activities, and represent EPS in other institutional forums as appropriate.
- Supervise EPS Project Managers and administrative support staff, including to hire, define and assign job responsibilities, and evaluate job performance.
- Work closely with Finance Department to create and implement effective systems for revenue-recognition, fixed assets tracking, and other financial and/or audit requirements as needed.
MINIMUM QUALIFICATIONS:
- BA/BS degree; and 7 years progressively responsible experience in not for profit administration, or an equivalent combination of training and experience. Advanced degree a plus
- Demonstrated experience with the financial management of multiple, multi-year federal and private grants and/or significant organizational budgets
- Demonstrated ability to develop and maintain systems, structures, and tools for financial and administrative analysis
- Demonstrated ability to think and plan at a broad-based strategic level
- Proven ability to prioritize and balance multiple demands in a fast-paced, creative environment; highly organized and detail oriented
- Demonstrated experience to work with staff at all levels in a highly complex, collaborative, environment; commitment and ability to promote and sustain positive workplace values and relationships
- Outstanding organizational, interpersonal, and communication skills
- Computer savvy with expertise in Excel, Word, and database programs; experience with web-based applications highly desirable
- Ability to move from place to place, use a telephone and computer terminal, lift and carry up to 25 pounds short distances
