  ASSISTANT MANAGER
Admissions and Visitors Services Department
Regular, Full-time Position


SUMMARY:

This position is responsible for managing the daily operational activities of the Admissions and Visitor Services Department in coordination with the Admissions and Visitor Services Operations Manager. The Assistant Manager serves as the main point of contact for many internal and external admissions related inquiries. The ideal candidate for this position possesses exceptional customer service skills and leadership qualities, a solid understanding of basic accounting principles, and the ability to make both quick and intelligent decisions in a fast-paced environment.


ESSENTIAL FUNCTIONS:
  • Supervise Admissions and Reservations staff, including ongoing training, scheduling work assignments, progressive discipline, and motivation to meet department standards.
  • Coordinate and train Visitor Service Desk volunteers, department interns, museum survey takers, and seasonal security guards.
  • Supervise daily activities of the department, including the safe and professional implementation of museum opening and closing procedures.
  • Develop and recommend department sales and production incentives in coordination with the Admissions Manager and Membership Director; implement and track effectiveness of approved incentive programs.
  • Oversee the hiring process for Admissions Head Cashiers, Cashiers, and a number of on-call staff; recommend qualified candidates to the department Manager. Create bi-annual staff performance evaluations in coordination with Manager.
  • Supervise daily cash deposits, audits, and reconciliation.
  • Assist Manager with fiscal month closing procedures, including reconciliation of all related accounts, compiling of reports, and presentation/distribution of information.
  • Assist Manager in budget and forecast preparation.
  • Handles on-site visitor comments, complaints, and other situations in a professional manner consistent with Museum standards for excellent customer service. Monitor and direct questions/comments to appropriate internal staff. Identify areas of ongoing concern and report to department Manager.
  • Co-chair and provide support for the Front Line Committee. This will include compiling and preparing calendars, meeting minutes and agendas, and weekly listings of events for internal distribution.
  • Maintain visitor amenities, such as brochure racks, ATM machine, souvenir machines, and visitor lockers. Monitor and maintain appearance of the lobby.
  • Other responsibilities and duties as needed.

QUALIFICATIONS:

  • B.A./B.S. or a minimum of 4 years experience preferably in the hospitality or attendance-based environment. At least 1 year in a supervisory capacity required: 2 years or more strongly preferred.
  • Proven financial aptitude. Experience in accounts receivables, general ledger and deferred account reconciliation preferred. Solid understanding of basic accounting principles required.
  • Strong computer skills, including advanced experience with Windows, MS Word, and Excel; able to learn additional software programs, including Hyperion Pillar and FileMaker Pro.
  • Proactive decision making abilities and troubleshooting skills while exercising excellent judgment.
  • Able to work independently as well as in a team environment.
  • Experience in front line customer relations and complaint resolution.
  • Excellent organizational and time management skills.
  • Excellent verbal, written, and interpersonal skills.
  • Proficient in English, spoken and written (mandatory); bilingual skills an asset.
  • Able to work flexible hours including regular weekend hours (most likely a Sunday through Thursday schedule) and occasional evening shifts.
  • Able to lift and carry up to 35 pounds short distances, sit at a computer terminal, move from place to place, and utilize general office equipment.
